When Check-ins Are Missed

Missed check-ins happen. Here's how to handle them effectively.

Understanding Missed Check-in Status

A check-in is marked Missed when:

  • The check-in window has passed

  • The grace period has expired

  • No submission was recorded
  • Viewing Missed Check-ins


  • Navigate to Missed Check-ins in the sidebar

  • See all missed check-ins with:

  • Staff name

  • Schedule details

  • Expected time

  • Time since missed
  • Taking Action

    Send Reminder
    Click the reminder button to notify the staff member immediately.

    Mark as Reviewed
    If you've addressed the missed check-in:

  • Click on the missed check-in

  • Add a note explaining the situation

  • Mark as reviewed
  • Bulk Actions
    Select multiple missed check-ins to:

  • Send reminders to all

  • Mark all as reviewed
  • Investigating Patterns

    Look for trends:

  • Same staff member repeatedly missing?

  • Same time of day?

  • Same location?
  • These patterns might indicate:

  • Schedule conflicts

  • Unrealistic timing

  • Training needs

  • Access issues at locations
  • Prevention Strategies


  • Enable notifications - Remind staff before their window

  • Set reasonable windows - Allow enough time

  • Check staff assignments - Avoid scheduling conflicts

  • Review location access - Ensure staff can reach locations

  • Train staff properly - Make sure they understand expectations
