Understanding Schedules

Schedules define when and where your staff should perform check-ins. A well-designed schedule ensures consistent coverage and clear expectations.

Creating a New Schedule


  • Navigate to Schedules in the sidebar

  • Click Add Schedule

  • Fill in the schedule details:

  • Title: A descriptive name (e.g., "Morning Security Round")

  • Checklist: Select which checklist to use

  • Location(s): Choose one or more locations

  • Staff: Assign staff members
  • Setting the Frequency

    Daily

  • Runs every day at the specified time

  • Good for: Security patrols, cleaning checks
  • Weekly

  • Select which days of the week

  • Good for: Deep cleaning, maintenance inspections
  • Monthly

  • Choose specific dates or "first Monday", etc.

  • Good for: Equipment inspections, safety audits
  • Time Windows

    Each schedule has a check-in window:

  • Start Time: When staff can begin checking in

  • End Time: Deadline for completing the check-in

  • Grace Period: Extra time before marking as "late"
  • Example:

  • Start: 8:00 AM

  • End: 9:00 AM

  • Grace: 15 minutes

  • Staff can check in 8:00-9:00, marked late if after 9:00, missed if after 9:15
  • Multiple Staff Assignments

    You can assign multiple staff to one schedule:

  • All required: Every assigned staff must check in

  • Any one: Only one staff member needs to check in

  • Rotating: Automatically rotates through staff
  • Enabling Notifications

    Toggle notifications to alert:

  • Staff before their check-in window starts

  • Admins when check-ins are missed

  • Supervisors for escalation

  • Name schedules clearly - Include location, time, or purpose

  • Allow reasonable windows - Avoid too-tight deadlines

  • Group related locations - Create efficient rounds

  • Review regularly - Adjust based on actual completion patterns
