Conditional Logic in Checklists

Make your checklists smarter by showing questions only when relevant.

What Are Conditional Questions?

Conditional questions appear only when a previous answer meets certain criteria.

Example:

  • Q1: "Is the equipment working?" (Yes/No)

  • Q2: "Describe the issue" (only shows if Q1 = No)
  • This keeps checklists focused and avoids irrelevant questions.

    Setting Up Conditions

  • Edit your checklist

  • Add or select a question

  • Click Add Condition

  • Choose:

  • Which previous question to check

  • What answer triggers this question

  • Save the checklist
  • Condition Types

    Equals
Show if answer exactly matches value.

  • "If Q1 = No, show Q2"
  • Not Equals
Show if answer doesn't match value.

  • "If Status ≠ Good, show Issues question"
  • Contains (for multi-select)
Show if selected options include a value.

  • "If selected issues contain 'Safety', show Safety Report"
  • Multiple Conditions

    You can combine conditions:

  • AND - All conditions must be true

  • OR - Any condition can be true
  • Best Practices

  • Keep it simple - Complex logic confuses staff

  • Test thoroughly - Run through all answer combinations

  • Document logic - Note why questions are conditional

  • Consider mobile - Ensure smooth experience on phones
  • Common Patterns

    Issue Follow-up

  • "Any issues?" → If Yes → "Describe issue" + "Photo of issue"
  • Severity Branching

  • "Issue severity?" → If High → "Immediate action taken?"
  • Completion Verification

  • "Task completed?" → If No → "Reason not completed"
